Document Checklist

What documents do I need to apply for a mortgage?

Most first-time buyers need a recent pay stub, W-2s from the last two years, the last two full months of bank statements, and a government-issued photo ID. Self-employed buyers, veterans, and anyone using gift money or paying or receiving support need a few extra items. Your Brown advisor confirms exactly which ones your loan needs.

Identity and basics

  • Government-issued photo ID, such as a driver’s license or passport
  • Social Security number for each borrower, for the credit check

Income (paid employees)

  • Most recent pay stub, dated within 30 days of your application and showing year-to-date earnings
  • W-2s from the last two years
  • Award letters for Social Security, pension, or disability income
  • A signed offer letter, if you are starting a new job

Self-employed and 1099 income

  • Two years of signed personal federal tax returns, with all schedules
  • Business tax returns, if your lender requires them
  • 1099 forms from the last two years, if you are paid as a contractor
  • A year-to-date profit-and-loss statement, if your lender asks for one

Assets and down payment

  • The last two full months of statements for every checking and savings account, all pages
  • Statements for investment or retirement accounts you plan to use
  • A written explanation and source for any large non-payroll deposit

Gift funds

  • A gift letter signed by the person giving you the money
  • Proof of the transfer, such as a copy of the check and your deposit slip, or a transfer record

Military service (VA loans)

  • DD-214, if you are a veteran
  • A statement of service signed by your commander, adjutant, or personnel officer, if you are on active duty
  • Your Certificate of Eligibility (COE), which your lender can often request for you

Divorce, support, and other situations

  • Divorce decree and any settlement agreement
  • Court order for child support or alimony paid or received, plus proof of payments
  • Proof of on-time rent payments or your landlord’s contact information, if your advisor asks

Gift Funds

What should a mortgage gift letter include?

A mortgage gift letter is a signed statement from the person giving you money toward your home. Under Fannie Mae guidelines, it states the gift amount, confirms that no repayment is expected, and lists the giver’s name, address, phone number, and relationship to you. Your lender also needs proof the money moved.

Fannie Mae accepts gifts from relatives and people with a long-standing, family-like relationship, such as a fiancé, but not from anyone connected to the sale, such as the builder or agent.

For proof, a copy of the check with your deposit slip, or an electronic transfer record, generally works. Cash is hard to document.

VA Loans

What do I need for a VA loan Certificate of Eligibility?

A VA home loan requires a Certificate of Eligibility (COE), which shows your lender you qualify for the VA home loan benefit. According to VA.gov, you can request a COE online, by mail with VA Form 26-1880, or through your lender. Veterans need a DD-214; active-duty members need a signed statement of service.

Many buyers let the lender request the COE through VA’s online system; VA.gov notes that mail requests may take longer. National Guard, Reserve, and surviving spouse documents differ, and VA.gov lists each.

Self-Employed Buyers

What extra documents do self-employed buyers need?

Self-employed buyers generally need two years of signed personal federal tax returns with all schedules, and sometimes business returns too. Fannie Mae generally looks for a two-year history of self-employment income, though a shorter history can work in some cases. Your lender qualifies you on the income your returns show after deductions.

Fannie Mae does not require a year-to-date profit-and-loss statement for most businesses, but a lender may ask for one if you apply more than 120 days after your tax year ends. Talk with your advisor before you file.

Before You Apply

What should I do before I apply for a mortgage?

Before you apply, check your credit reports for errors, estimate your payment with a calculator, decide how much cash to keep after closing, and gather your documents in one folder. Mention gift money, down payment assistance, or a job change early so your Brown advisor can plan around them.

Before-you-apply checklist

  • Pull your free credit reports from all three bureaus at AnnualCreditReport.com (free weekly) and dispute any errors.
  • Estimate your monthly payment, including taxes and insurance, with the Brown mortgage calculators.
  • Put every document from this checklist in one folder.
  • Tell your advisor about gift money, assistance programs, or a new job.
  • If you are self-employed, talk with your advisor before you file your taxes.
  • Hold off on new credit cards or loans.

Application Steps

What are the mortgage application steps, in order?

The mortgage application follows eight steps: start your application, send documents, get your pre-approval letter, make an offer, receive your Loan Estimate and lock your rate, complete appraisal and underwriting, review your Closing Disclosure, and sign. With Brown – A Legacy of Home Lending, most purchase loans close 30 to 45 days after an accepted contract.

  1. Start your application

Timing: About 12 minutes to start

Start online at brown-team.com/pre-approval or call 618-323-3508. Pre-approval is free and carries no obligation.

  2. Send your documents

    Timing: Your first few days

Upload the items on this checklist.

  3. Get your pre-approval letter

Timing: Once your documents are reviewed

Letters expire as your documents age, so your advisor refreshes yours if your search runs long.

  4. Make an offer

    Timing: Depends on your search

Your agent includes your pre-approval letter.

  5. Receive your Loan Estimate and lock your rate

Timing: Within 3 business days of applying

You and your advisor decide when to lock your rate.

  6. Complete appraisal and underwriting

    Timing: Inside the 30-to-45-day window

    Answer underwriter requests quickly.

  7. Review your Closing Disclosure

Timing: At least 3 business days before closing

Compare it with your Loan Estimate, especially the APR, as the CFPB suggests.

  8. Sign at closing

Timing: Plan 45 to 60 minutes

Bring a photo ID. Confirm wiring instructions by phone, never by email.

Before Closing

What should I avoid before my mortgage closes?

Keep your finances steady from application to closing. Avoid opening new credit, financing a car or furniture, changing jobs without talking to your advisor, making large deposits you cannot document, co-signing for anyone, and missing payments. Lenders often re-check credit and employment shortly before closing, so call your Brown advisor before any change.

Do not do these before closing

  • Opening new credit or financing a car, furniture, or appliances. New debt changes your debt-to-income ratio.
  • Changing jobs or pay structure without talking to your advisor first. Fannie Mae has lenders re-verify employment within 10 business days before closing.
  • Making large deposits you cannot document. Under Fannie Mae rules, a deposit over half your monthly qualifying income needs a documented source if you use those funds.
  • Co-signing a loan for anyone.
  • Missing or paying late on any bill.
  • Moving money between accounts without keeping the statements.
  • Following wiring instructions from an email.

Down Payment

What are my down payment options as a first-time buyer?

First-time buyers generally do not need 20% down. FHA loans start at 3.5% down, conventional loans at 3% for eligible first-time buyers, and VA and USDA loans can require 0% down for eligible borrowers. Down payment assistance may also help. All options are subject to approval.

OptionWhat to know
FHAGenerally from 3.5% down with a 580 or higher credit score
ConventionalGenerally from 3% down for eligible first-time buyers; typically 620+ credit score
VACan be 0% down for eligible veterans, service members, and surviving spouses
USDACan be 0% down for eligible buyers and properties in qualifying areas

FAQ

Mortgage application questions, answered

How many months of bank statements do I need?

Usually the most recent two full months for each account, every page included, as Fannie Mae guidelines call for.

Do self-employed buyers need a profit-and-loss statement?

Not always. Fannie Mae does not require one for most businesses, but a lender may ask when you apply more than 120 days after your tax year ends.

Can I use gift money for my down payment?

Often, yes. Most loan programs allow gifts from family, subject to program rules. You need a signed gift letter and a paper trail of the transfer.

How do I get my VA Certificate of Eligibility?

VA.gov lists three ways: online, by mail with VA Form 26-1880, or through your lender. Veterans need a DD-214.

Do I need a purchase contract to get a Loan Estimate?

No. The CFPB says a lender must give you one once you provide your name, income, Social Security number, property address, estimated value, and loan amount.

How long is a pre-approval letter good for?

Each letter carries a lender-set expiration date, because the documents behind it age. If yours expires before you find a home, your Brown advisor refreshes it.

Can I change jobs before my mortgage closes?

Talk with your advisor first. Lenders re-verify employment shortly before closing, and a new job or pay structure can change how your income is counted.

Does Brown list mortgage rates or fees online?

No. Rates change daily and depend on your credit, loan, and property. Request a written Loan Estimate instead; it arrives within 3 business days of applying.
